Everything you need to sell tickets, collect registrations, and run a smooth event on Tikxz. No MUN-specific stuff here - just clean event management.

Section 01

Getting Started

Account setup, KYC, and getting your organizer profile ready to go

The Organizer Dashboard (organizer.tikxz.com) handles everything - event creation, ticket sales, registrations, and payouts. Before collecting any payments, you need to do KYC once. It's a one-time thing and unlocks the full payment system.

1.1 - Creating Your Account

Go to organizer.tikxz.com/register and sign up with email + OTP, or via Google.

Select your organization type during signup - school, college, company, NGO, or individual.

You'll get an onboarding email with a link to complete your profile and set your password.

1.2 - KYC Verification

KYC verifies your identity for safe and compliant payouts. Do it once, never again.

Government ID

Aadhaar card of the primary organizer

PAN Card

Personal or organization PAN

Org. Proof

Letterhead, GST certificate, or registration docs

Bank Account

Account number + IFSC for receiving payouts

Submit documents from Dashboard - Profile - KYC. Approval takes 24-48 hours.
Without KYC, you can host free events fine - but paid registrations won't be unlocked. Ngl, do this early so it's not a last-minute blocker.

1.3 - Your Organizer Profile

  • Logo - Square, minimum 500x500px. Shows on your event cards and profile page.
  • Banner - 1200x400px recommended. Shown on your public organizer page.
  • Bio - Who you are, what you organize, why people should trust you.
  • Social Links - Instagram, website, LinkedIn. Adds credibility on your public profile.

1.4 - Gallery

The Gallery lets you showcase photos from past events on your public organizer profile. Access it from Dashboard - Gallery.

  • Create multiple Albums - each with a title and description (e.g. "Annual Fest 2024", "Behind the Scenes").
  • Upload images to each album. Supports JPG, PNG, and WebP.
  • Albums and photos appear on your public-facing organizer profile on tikxz.com.
  • Click Save Gallery after any changes - edits are not auto-saved.
The gallery is organizer-level, not event-specific. Photos are shared across all your events on your public profile page.

Section 02

Creating an Event

Setting up your event details, media, and going live

2.1 - Basic Setup

Go to Dashboard - Events - Create Event.

Fill in the Event Name, Description, Category, City, Venue, and Start/End Date & Time.

Upload a Banner Image (1920x1080px, 16:9 ratio) and an optional Event Logo.

Add tags to help your event get discovered via search and category pages.

Click Save as Draft. Edit freely until you're ready to publish.

Event URL is based on your event slug. Pick it carefully - it cannot be changed after publishing, and it's the link you'll be sharing everywhere.

2.1.1 - Event Description Guidelines

  • Lead with the core promise of the event in one or two lines.
  • Use short paragraphs or bullets so people can scan the page quickly.
  • Include who it is for, what happens, and anything attendees should bring or expect.
  • Avoid vague hype copy without useful details. Clear beats clever.
The description is one of the first things people read on the public page, so make it specific, not generic. Need more examples? Check out our Event Description Guidelines.

2.2 - Event Types

In-Person

Physical venue. Attendees show up, get checked in via QR or ID.

Online

Virtual event. Share a meeting/stream link after successful registration.

Hybrid

Both physical and virtual attendees. Manage both groups from one dashboard.

Free Entry

No ticket price. Great for open events, workshops, or community meetups.

2.3 - Event Status Lifecycle

StatusWhat it means
DraftOnly visible to you. Edit freely, nothing is public yet.
PublishedPublicly listed. Visitors can view the event page.
Sales OpenTickets/registrations are live. People can register and pay.
Sales ClosedRegistration is stopped. Existing registrations stay active.
OngoingEvent is happening. Check-in is active.
CompletedEvent ended. Payout process is initiated. Read-only.
CancelledEvent cancelled. Refunds triggered automatically for paid attendees.

Section 03

Pricing and Tickets

Setting up free or paid tickets, tiers, and capacity per ticket type

Events on Tikxz support flexible pricing - from fully free to multi-tier paid ticketing. Set it up from Dashboard - Your Event - Pricing.

3.1 - Ticket Types

Free

No charge. Attendees register and get a confirmation ticket.

Paid

Fixed price per registrant. Payment via Cashfree at checkout.

Early Bird

Discounted price that auto-expires after a date or seat count.

Group

Set a price for a group registration (e.g. team of 4).

3.2 - Creating a Ticket Tier

Go to Dashboard - Your Event - Pricing - Add Tier.

Set the Tier Name (e.g. General Admission, VIP, Early Bird).

Set the price in INR. Use Rs.0 for a free tier.

Set the seat capacity for this tier. Leave blank for unlimited.

Optionally set an expiry date - useful for Early Bird tiers that should auto-close.

You can have multiple active tiers at once. Attendees choose their preferred tier at checkout.
Changing the price of a tier does not affect registrations already completed. Only applies to new ones going forward.

3.3 - Coupons & Discounts

  • Create coupon codes from Dashboard - Your Event - Pricing - Coupons.
  • Set discount type: flat Rs. amount or percentage off the ticket price.
  • Add usage limits and expiry dates to keep promos under control.
  • Coupons only apply to online paid registrations - not to free tiers or offline payments.

Section 04

Registration Form Builder

Customizing what information you collect from attendees at checkout

4.1 - Default Fields (Always Collected)

These three fields are locked in and always appear first. Everything else is customizable via the builder.

4.2 - Adding Custom Fields

Go to Dashboard - Your Event - Form Builder.

Click Add Field and choose the field type.

Set the label, optional placeholder text, and mark it Required or optional.

Drag fields to reorder. Click Save Form when done.

4.3 - Available Field Types

Short Text

Single-line input. Great for names, cities, company names.

Paragraph

Multi-line textarea. Use for bio, dietary notes, questions.

Dropdown

Pick one option from a list you define.

Checkbox

Yes/no toggle or multi-select checkboxes.

Date

Date picker. Useful for collecting DOB or arrival dates.

File Upload

PDF or image upload. Useful for ID proof, portfolios, or essays.

Form changes only affect new registrations. People who already registered keep their original form data.

Section 05

Registrations

Viewing, managing, and exporting your attendee list

5.1 - The Registrations List

Access all registrations from Dashboard - Your Event - Registrations. Search by name/email, filter by ticket tier, and filter by payment status.

5.2 - Payment Statuses

PaidPayment confirmed via Cashfree. Attendee is fully registered.
PendingPayment initiated but not confirmed yet. Usually self-resolves in minutes.
FreeNo payment needed. Registered on a free tier.
FailedPayment failed. Attendee needs to retry from their end.

5.3 - Export CSV

Click Export CSV to download a spreadsheet with: attendee name, email, phone, ticket tier, payment status, amount paid, all custom form responses, and registration timestamp.

5.4 - Cancellations & Refunds

  • Open any registration and click Cancel Registration at the bottom.
  • Paid registrations trigger an automatic Cashfree refund within 5-7 business days.
  • Free-tier cancellations are instant with no payment impact.
Cancellations are permanent. The Cashfree refund kicks off automatically - you cannot stop it once triggered.

Analytics

Understanding your registration trends, revenue, and attendee breakdown

The analytics tab gives you a real-time overview of how your event is performing. Access it from Dashboard - Your Event - Overview.

6.1 - Key Metrics

Total Registrations

All registrations regardless of payment status.

Confirmed Attendees

Only paid or free-tier confirmed registrations.

Revenue Collected

Total INR received. Excludes pending and failed payments.

Capacity Used

Seats filled vs. total capacity set for the event.

Tier Breakdown

How many attendees per ticket tier.

Daily Registrations

Registration volume over time - spot your marketing spikes.

Analytics data updates in real time. No need to refresh - it's lowkey always live.

Section 07

Event Settings

Capacity, waitlist, visibility controls, and deleting an event

7.1 - Capacity & Waitlist

  • Total Capacity: Max number of attendees. Registrations auto-close when reached.
  • Per-Tier Capacity: Each ticket tier can have its own seat limit independent of total capacity.
  • Waitlist: When capacity is full, new signups join a waitlist. Promote them manually when spots open.
  • Capacity can be increased at any time - you can always add more seats, never fewer than already registered.

7.2 - Visibility Controls

  • Public: Event appears in search, browse pages, and your organizer profile.
  • Unlisted: Accessible only via direct link. Won't appear in search or listings. Good for invite-only events.
  • Draft: Fully hidden. Only visible to you while you're setting it up.

7.3 - Cancelling or Deleting an Event

  • Cancel: Marks the event as cancelled and sends notifications to all registered attendees. Paid registrations are refunded automatically.
  • Delete: Permanently removes the event, all registrations, and all data. Only available for Draft or Completed events with no active paid registrations.
Cancelling a live event with paid registrations triggers automatic refunds to all attendees. There is no undo. Double-check before hitting cancel.

Section 08

Finance and Payouts

How platform fees work, when you get paid, and what to do if something looks off

8.2 - Payout Process

Mark your event as Completed after it ends.

The Tikxz finance team reviews your payout within 1-2 business days.

Funds transfer to your verified bank account within 5-7 business days.

You receive a confirmation email with the transfer reference.

Your bank account must be verified via KYC before the event ends. Unverified accounts delay payouts - don't leave this for later.

8.3 - Common Finance Questions

  • Cancelled attendee refunds: Refunded amounts are deducted from your net payout. You only receive what was actually collected minus refunds.
  • Free events: No payment processing, no fees. Tikxz handles registrations at no cost for free-tier events.
  • Early payout: Not available, fr. Payouts go out only after the event is marked Completed to ensure all refunds are settled first.
