Organizer Docs

Lowkey the only docs you'll need to run a MUN on Tikxz. We wrote all of this so you're not fumbling on event day. No cap.

Section 01

Getting Started

Account setup, KYC, and onboarding your organizer profile

The Organizer Dashboard (organizer.tikxz.com) is your go-to for everything - setup, registrations, check-in, all of it. Before collecting payments, you'll need to do KYC once. It's a one-time thing, fr, and unlocks the whole payment system.

1.1 - Creating Your Account

Go to organizer.tikxz.com/register and sign up with your email and OTP, or via Google.

Select your organization type (school, college, NGO, individual) during signup.

You will receive an onboarding email with a magic link to set your password and complete your profile.

1.2 - KYC Verification

KYC is required before you can activate online payments. It verifies your identity and organization to ensure safe payouts.

Account number + IFSC for payouts

Submit documents from Dashboard → Profile → KYC. Approval takes 24–48 hours. You will receive a notification email.
Without KYC, you can still create MUNs but cannot accept online payments - only Cash Drive works. Ngl, collecting fees manually on event day is not the vibe.

1.3 - Completing Your Profile

  • Organization Logo - square image, minimum 500x500px. Shown on event cards.
  • Banner - 1200x400px recommended. Shown on your organizer profile page.
  • Bio - Describe your organization, past events, and team.
  • Social Links - Link your Instagram, website, and LinkedIn for credibility.

1.4 - Gallery

The Gallery lets you showcase photos from past events on your public organizer profile. Access it from Dashboard - Gallery.

  • Create multiple Albums - each with a title and description (e.g. "Tikxz MUN 2024", "Behind the Scenes").
  • Upload images to each album. Supports JPG, PNG, and WebP.
  • Albums and photos show up on your public-facing organizer profile on tikxz.com.
  • Click Save Gallery after any changes - edits are not auto-saved.
The gallery is organizer-profile level, not MUN-specific. Photos you upload are shared across all your MUNs and events on your public profile.

Section 02

Creating a MUN

Setting up your MUN, going live, and managing the status lifecycle

2.1 - Basic Details

Go to Dashboard → My MUNs → Create New MUN.

Fill in Title, Slug, Description, City, Venue, and Start/End Dates.

Upload a Banner Image (1920x1080px, 16:9) and a Logo (square, 500x500px minimum).

Set the registration fee. Use Rs.0 for a free MUN. Enable Cash Drive if accepting offline cash payments.

Click Save as Draft. You can preview and edit freely before publishing.

The Slug becomes your permanent public URL once the MUN is live and cannot be changed. Pick something clean - this is the URL your delegates will be sharing everywhere, so make it slay.

2.2 - Registration Fee and Payment Options

  • Standard Fee: Set a flat registration fee in INR. Delegates pay via Cashfree at checkout.
  • Per-Committee Fee: Override the default fee for specific committees when creating each committee.
  • Free MUN: Set the fee to Rs.0. No payment gateway or KYC required.
  • Cash Drive: Delegates register online for free and pay in cash on event day.

2.3 - MUN Status Lifecycle

Section 03

Committees and Portfolios

Setting up committees, adding portfolios, and allocating delegates

3.1 - Creating Committees

Go to Dashboard → Your MUN → Committees → Add Committee.

Enter the Committee Name (e.g. United Nations Security Council) and Abbreviation (e.g. UNSC).

Optionally set a committee-specific registration fee that overrides the MUN default.

Add an Agenda / Topics description visible to delegates on the public MUN page.

3.2 - Adding Portfolios

  • Click Add Portfolio inside a committee card.
  • Enter the portfolio name (e.g. India, USA, International Press).
  • Add as many portfolios as the committee can seat - one per country or role.
  • Portfolios can be deleted if not yet assigned to any delegate.

3.3 - Delegate Assignment

Manual

Open a registration, click Assign, select committee and portfolio, then Save.

Auto-Assign

Bulk-assigns all unassigned delegates across available portfolios in one shot. Shows a full preview before you confirm - lowkey check it before saving.

After assigning delegates, click Send Allocation Emails from the MUN overview to notify all assigned and paid delegates.

Section 04

Registrations

Viewing, filtering, managing, and exporting delegate registrations

4.1 - The Registration List

Access all registrations at Dashboard → Your MUN → Registrations. Filter by payment status, committee, or search by name and email.

4.2 - Payment Statuses

PaidOnline payment confirmed via Cashfree. Fully registered.
PendingPayment initiated but not confirmed yet. Usually self-resolves in a few minutes - no need to spiral.
Cash DriveOffline payment. Mark as paid manually after collecting cash.
FailedPayment declined. Delegate must retry from their side.

4.3 - Export CSV

Click Export CSV to download a spreadsheet with: delegate name, email, phone, payment status, amount, assigned committee and portfolio, all custom form responses, and registration date.

4.4 - Cancellations and Refunds

  • Open a registration, scroll to the bottom, click Cancel Registration.
  • Paid registrations trigger an automatic Cashfree refund in 5 to 7 business days.
  • Cash Drive cancellations are noted - handle cash refunds manually.
Cancelling a paid registration cannot be undone. The refund is triggered automatically.

Section 05

Executive Board

Managing EB applications - Chairs, Vice-Chairs, and Rapporteurs

The EB track is completely separate from delegate registration. These are the people who actually run your committees - chairs, vice-chairs, rapporteurs. No payment required, and tbh it's one of the cleanest parts of the platform. You review and approve each application from the dashboard.

5.1 - Application Flow

Applicant visits the public MUN page and clicks Apply for Executive Board.

They fill in their preferred committee, position, and motivation statement.

Application appears in Dashboard → Your MUN → Executive Board with status Pending.

Review and set status to Approved or Rejected. The applicant receives an automatic email.

5.2 - Managing EB Members

  • Approved EB members are listed under their committee in the EB tab.
  • Their details appear on the public MUN page as official EB members.
  • Approval can be revoked at any time - the member is notified by email.

Section 06

Team and Permissions

Adding co-organizers, USGs, and volunteers with role-based access control

6.1 - Adding a Team Member

Go to Dashboard → Your MUN → Team → Add Member.

Enter their email address. If they have a Tikxz account they are linked immediately. If not, a new account is created and credentials are emailed.

Select a role template to set default permissions, then fine-tune individual toggles.

Optionally set an Expiry Date for temporary access (e.g. event volunteers).

Every permission toggle can be overridden per member - the table shows role defaults only.

Section 07

Scanner and Check-In

Creating scanner accounts, distributing UIDs, and running check-in at the venue

The Tikxz Scanner at scanner.tikxz.com works on any phone browser - no app download, no setup, just open and go. Volunteers log in with a Scanner UID. Scanner accounts are fully locked out of the dashboard, so your data stays safe no matter who's holding the phone.

7.1 - Creating a Scanner User

Go to Dashboard → Your MUN → Team → Scanners tab → Create Scanner.

Enter the volunteer's Name. Optionally enter their email address.

Set an Expiry window: 1 to 72 hours. The UID stops working after expiry automatically.

Click Create Scanner. A unique UID is generated in the format SCN-ABC-123-XY4.

7.2 - Distributing the UID

  • Copy UID: Click the copy button and share via WhatsApp, Slack, or any messaging app.
  • Send Email: If you entered their email, click Send Email to deliver a credential email with the UID and login instructions.
  • You can resend the email at any time from the Scanners list.

7.3 - How the Scanner App Works

Volunteer opens scanner.tikxz.com on their phone and enters the Scanner UID.

Your MUN loads automatically. They tap Start Scanning.

Point camera at a delegate's QR code from their confirmation email or tikxz.com profile.

On valid scan: delegate name, committee, and portfolio appear. Status is marked Checked In.

If the QR fails: tap Enter Manually and type the delegate's Registration ID. Does the job fr - no one will notice.

Multiple scanners can run simultaneously - ideal for multi-gate entry at large venues.
Already-checked-in delegates show a yellow warning to prevent duplicate entries.

Section 08

Coupons and Discounts

Creating promo codes, setting limits, and tracking usage in real time

8.1 - Creating a Coupon

Go to Dashboard → Your MUN → Coupons → Create Coupon.

Set the Code (e.g. EARLY50). Case-insensitive at checkout.

Choose Discount Type: Flat Rs. (e.g. Rs.200 off) or Percentage % (e.g. 20% off).

Enter the Discount Value.

Optionally set a Usage Limit (total redemptions) and an Expiry Date.

Click Create Coupon. It is immediately active.

8.2 - Tracking and Managing

  • The coupon list shows total uses and remaining uses per code in real time.
  • You can disable a coupon at any time to immediately invalidate it without deleting it.
  • Expired or fully-used coupons are invalidated automatically.
Coupons only work on online payments. Cash Drive registrations are handled offline, so codes won't apply there - that's just how it is.

Section 09

Registration Form Builder

Customizing what data you collect from delegates at registration

9.1 - Default Fields (Always Collected)

Default fields are locked in place and always appear first - no reordering. Add whatever custom fields you need below them using the builder.

9.2 - Adding Custom Fields

Go to Dashboard → Your MUN → Form Builder.

Click Add Field and choose a field type (see below).

Enter the field label, optional placeholder, and mark Required or optional.

Drag to reorder. Click Save Form when done.

9.3 - Field Types

Short Text

Single-line input. Best for names, schools, city.

Paragraph

Multi-line textarea. Best for essays or motivation.

Dropdown

Single-select from a list you define.

Checkbox

Boolean yes/no or multiple-choice checkboxes.

File Upload

PDF or image (e.g. ID card, position paper).

Form changes only affect new registrations. Existing submissions retain the fields at the time they registered.

Section 10

MUN Settings

Capacity, waitlist, notification controls, and critical operations

10.1 - Capacity and Waitlist

  • Capacity: Maximum delegate count. Registrations auto-close when reached.
  • Waitlist: When capacity is full, new registrants join a waitlist. You promote them manually.
  • Capacity and waitlist can be changed at any time, even mid-registration.

10.2 - Notification Email Controls

  • Registration Confirmation: Sent automatically on payment. Cannot be disabled.
  • Committee Allocation: Sent when you click Send Allocation Emails. You control timing.
  • Cash Drive Reminders: Automatic reminders to Cash Drive delegates before the event.
  • Cancellation Notice: Sent automatically when you cancel a registration.
Moving status to Registration Closed stops all new registrations immediately with no confirmation step.

10.3 - Deleting a MUN

  • Only the MUN owner can delete. All active registrations must be cancelled first.
  • Deletion permanently removes the MUN, committees, portfolios, team data, and all settings.
MUN deletion is permanent - no undo, no recovery. All active registrations must be cancelled first. This is not a "are you sure?" situation, it's a "be very sure" situation.

Section 11

Finance and Payouts

11.2 - Payout Process

Mark your MUN as Completed after the event ends.

The Tikxz finance team reviews your payout request within 1 to 2 business days.

Funds are transferred to your verified bank account in 5 to 7 business days.

You receive an email confirmation with the transfer details.

Ensure your bank account details are verified in Dashboard → Profile before the event date. Unverified accounts will delay payouts.

11.3 - Common Questions

  • Cancelled registrations: Refunded amounts are deducted from your total payout. Only net-collected funds are transferred.
  • Cash Drive delegates: Cash collected in person is yours directly. Tikxz does not handle or deduct from cash payments.
  • Early payout: Not available, fr. Payouts go out only after the MUN is marked Completed - this makes sure all refunds are settled before anything gets transferred.
