Committees & Portfolios

Add committees, set fees, build portfolio lists, assign delegates, and send allocation emails

Adding a committee

Navigate to Dashboard → Your MUN → Committees → Add Committee. Each committee you create is a separate track at your MUN, with its own portfolio list, capacity, and optionally its own price.

    Enter the Committee Name — the full name displayed on the public page. E.g. "United Nations Security Council" or "International Press Corps".

    Enter the Abbreviation — short form used on tickets, emails, and assignment displays. E.g. "UNSC", "IP", "DISEC". Keep it under 10 characters and make it immediately recognizable.

    Set a Fee Override (optional). Leave blank to use the MUN's default registration fee. Enter a specific amount to charge a different price for this committee alone.

    Write the Agenda — a 1 to 3 paragraph description of the committee's topic. This is public-facing and helps delegates decide which committee to apply for. It's worth writing properly.

    Click Save Committee. You can now add portfolios to it.

Committee-specific fees explained

When you set a per-committee fee, it completely replaces the MUN default for anyone registering for that committee. There's no add-on or blended pricing — it's a full override.

Fee overrides are shown to delegates during registration — they see the committee-specific price before selecting a committee, so there are no payment surprises. Changing a fee after delegates have already paid does not retroactively adjust what they paid.

Adding portfolios

Each portfolio is one seat. One delegate gets assigned to one portfolio. Inside each committee card, click Add Portfolio and enter the portfolio name.

  • Country delegations: "India", "United States of America", "Brazil" — be consistent with naming, don't mix "USA" and "United States" in the same list.
  • Press roles: "International Press", "The Hindu Correspondent", "Reuters Delegate"
  • Observer states: "European Union Observer", "Palestine Observer"
  • Special roles: "Crisis Director", "Rapporteur", "Secretary General"
  • Bloc representatives: "Non-Aligned Movement", "G77 Representative"

Portfolio management rules:

  • Add all portfolios before opening registrations — delegates can see available portfolios on the public page while choosing a committee.
  • Portfolios can be deleted only if no delegate has been assigned to them yet.
  • To delete a portfolio that's already assigned, you must first manually unassign the delegate or cancel their registration.
  • There's no hard maximum on portfolio count, but be realistic about how many delegates you actually expect. Empty portfolios are fine — allocated-but-empty looks disorganized.

Manual delegate assignment

Manual assignment gives you precise control over who goes where. Use this for delegates with special requests, prior commitments, or preference emails.

    Go to Dashboard → Your MUN → Registrations and click any registration to open it.

    Scroll to the Assignment section within the registration detail view.

    Select a committee from the dropdown. Only committees with available (unoccupied) portfolios appear.

    Select an available portfolio from that committee.

    Click Save. The delegate is now assigned. This does not automatically send an allocation email — you send that separately.

Manual assignments can be changed at any time, including after allocation emails have been sent. If you change an assignment post-email, send a follow-up allocation email to notify the affected delegate of the update.

Auto-assign — how it works and when to use it

Auto-assign distributes all currently unassigned delegates across available portfolio slots in one go. It's a massive time saver for large MUNs — but it requires a quick sanity check before you confirm.

Auto-assign is great. Auto-assign without previewing is a great way to send 40 delegates to UNSC and 0 to DISEC. Always review the preview before confirming.

    Go to Dashboard → Your MUN → Committees and click Auto-Assign Delegates.

    Review the Preview screen. It lists every delegate, their assigned committee, and assigned portfolio. Take 2 minutes to scan it.

    Look for imbalances: committees significantly over- or under-filled relative to their portfolio count. Also check if any delegate who sent you a preference email ended up somewhere wrong.

    If the preview looks good, click Confirm Auto-Assign. If not, close the preview without confirming, make manual adjustments, then re-run auto-assign for remaining unassigned delegates.

Sending allocation emails

Once delegates are assigned, notify them with allocation emails. This is a bulk send — one personalized email per assigned delegate.

    Navigate to Dashboard → Your MUN → Overview. Look for the Send Allocation Emails button. It activates when there are assigned delegates who haven't been notified yet.

    Click it. You'll see a count of delegates who will receive the email. Confirm.

    Emails are sent in the background. Each delegate receives their own email containing their name, registration ID, assigned committee, portfolio, event dates, venue, and a link to their delegate profile.

  • You can re-send allocation emails after changing assignments — only delegates with updated assignments receive a new email.
  • Delegates who already received an accurate allocation email are not re-notified unless their assignment changes.
  • Allocation emails include a QR code — this is the QR delegates show at check-in. Make sure assignments are finalized before sending, as changing assignments after means delegates have an outdated QR in their inbox.
Best practice: finalize all assignments, do a final review of the full allocation list, then send allocation emails as a single batch. Avoid sending in multiple partial batches — it's harder to track who has received what.

Editing and deleting committees

  • Editing committee name, abbreviation, or agenda: Always allowed, even after delegate assignment. Updates are reflected immediately on the public page.
  • Editing committee fee: Allowed at any time. The new fee applies to future registrations only — it does not change what already-paid delegates were charged.
  • Deleting a committee: Only possible if no delegates are assigned to it. If there are assigned delegates, you must first unassign them by manually moving them to another committee, or by cancelling their registrations.
  • Deleting a portfolio: Only possible if it hasn't been assigned to a delegate yet. If it's assigned, unassign or cancel the registration first.
Editing a committee after allocation emails have gone out can cause confusion. If you rename a committee post-send, the emails delegates received will show the old name. Consider whether a follow-up communication is needed to clarify.
