Campus Ambassadors
Track referrals, attribute registrations, and run ambassador programs with real data
What are campus ambassadors?
Campus ambassadors are students — usually from other colleges — who promote your MUN to their networks in exchange for perks you define: fee waivers, certificates, priority committee allocation, cash incentives, or whatever you work out. The arrangement is entirely between you and them.
Tikxz's role is to track which registrations came from each ambassador so you can measure performance objectively and distribute rewards fairly — no spreadsheet needed.
How ambassador codes work
Each ambassador is assigned a unique referral code (e.g. CA-RAHUL-2025). When a delegate registers using that code, the registration is permanently attributed to that ambassador. Attribution happens at the time of form submission, not at payment — so both paid and pending-payment registrations are tracked.
Delegates can apply the code in two ways — both work identically for tracking:
- Manual entry — delegate types the code into the ambassador code field at checkout.
- Pre-filled link — delegate clicks a Link Builder tracking link that automatically fills the code. No typing required.
Creating and managing ambassadors
Navigate to Dashboard → Your MUN → Campus Ambassadors → Add Ambassador.
- 1
Enter the ambassador's full name. The system auto-generates a code in the format
CA-FIRSTNAME-YEAR. - 2
Edit the code if you want something custom (e.g.
RAHUL,IITMADRAS,PRIYANKA22). Codes are case-insensitive at checkout. Keep them short and recognizable. - 3
Click Save. The ambassador profile is created and their unique tracking link is generated immediately.
- 4
Copy the tracking link from the ambassador detail view and share it with them. This is the link they'll distribute to their network.
- 5
To pause an ambassador mid-campaign, toggle them Inactive. Their existing attributed registrations remain recorded — only future registrations stop being attributed.
Tracking registrations per ambassador
The ambassadors list shows per-ambassador analytics in real time. Click any ambassador row to see their full breakdown:
| Metric | What it means |
|---|---|
| Referral Count | Total registrations attributed to this ambassador's code |
| Paid Referrals | Registrations where online payment is confirmed |
| Pending Referrals | Registrations initiated but payment not yet complete |
| Cash Drive Referrals | Offline payment registrations attributed to this ambassador |
| Revenue Generated | Total fees paid (online only) by this ambassador's referrals |
| Conversion Rate | Paid ÷ total referrals — measures ambassador follow-through quality |
A high Referral Count but low Conversion Rate suggests the ambassador is driving interest but delegates aren't completing payment. This is a signal to check pricing, remind those pending delegates, or investigate whether the ambassador is over-promising to people who aren't genuinely interested.
- Export all ambassador data as CSV via the Export button at the top of the ambassadors list — useful for calculating incentive payouts.
- Analytics update in real time — no need to refresh while monitoring a live campaign.
Combining with Link Builder for channel-specific tracking
The Link Builder's Combo link type lets you generate a single registration link that simultaneously pre-fills an ambassador code and a coupon discount code. This is the recommended setup when:
- The ambassador gets referral credit in your dashboard.
- The delegate gets an automatic discount (motivation to register).
- You get a clear picture of both the referral source and the coupon conversion.
You can also add UTM parameters to the Combo link to track which specific platform the ambassador posted it on — letting you see not just that Rahul drove 12 registrations, but that 8 of those came from his Instagram story and 4 from his WhatsApp group.
Best practices for ambassador programs
- Recruit before registration opens, not after. Ambassadors need time to build anticipation, not just announce registration is live.
- Set a clear cutoff date for what counts toward rewards. Registrations after the deadline shouldn't count — communicate this explicitly in your ambassador brief.
- Check the dashboard weekly during registration. If an ambassador has zero referrals after two weeks, check in — they may not have started, may need the link resent, or may not understand the incentive.
- Tiered rewards outperform flat rewards. "5 referrals = certificate; 15 = fee waiver" drives more effort than "everyone who refers gets a certificate."
- Give ambassadors assets — a designed poster, a copy-paste WhatsApp message, an Instagram story template. The easier you make promotion, the more they'll do it.
- Don't rely solely on ambassadors for registrations. They amplify your existing reach — they don't replace a marketing plan.
